Maintenance Committee
DRAFT Committee Charter
1. Purpose
The mission of the Maintenance Committee is to assist the Board by overseeing, tracking, and prioritizing maintenance activities for the Association’s common properties, promoting preventative maintenance, and supporting efficient use of Association resources.
2. AuthorityThe Maintenance Committee (“Committee”) is established by the Ravinia Villas Homeowners Association Board of Directors (“Board”) pursuant to the Association’s governing documents and Florida Statute Chapter 720. The Committee serves in an advisory and support role only, unless otherwise authorized by the Board.
3. Composition and Appointment
The Committee shall consist of up to seven (7) Ravinia Villas residents. Members are appointed by the Board and shall select a Chair from among themselves. Members may resign or be removed by the Board at any time. Experience in facilities management, contractor coordination, or project oversight is helpful but not required.
4. Responsibilities
At the direction of the Board, the Committee may:
- Track maintenance requests from submission through completion, including major milestones, and report trends or concerns to the Board.
- Recommend priorities for maintenance projects and repairs.
- Assist in developing and maintaining a preventative maintenance schedule for major equipment and services.
- Maintain a repository of equipment manuals, warranties, and maintenance history.
- Provide periodic updates on major maintenance projects to the Board and, when appropriate, to the community.
- Assist the management company with maintaining a list of qualified contractors.
- Coordinate with the Landscaping Committee where jurisdictional overlap exists.
- Assist with Lakehouse rental inspections to confirm cleanliness, damage status, and deposit eligibility.
- Assist with setup for Board meetings as requested.
5. Areas of Responsibility
The Committee’s focus includes all common property except landscaping and irrigation, including but not limited to: lighting systems, gates and access controls, security cameras, streets, walls and fences, storm sewers, pool and pool equipment, pool deck areas, gas grills and related systems, and other common infrastructure as identified by the Board.
6. Spending and Approvals
Routine maintenance and emergency repairs up to $1,500, when coordinated through management, may proceed consistent with Board-approved authority. All expenditures shall be reported to the Board. Board approval is required for non-emergency projects exceeding $1,500 in a monthly period. Any maintenance work performed by Committee members or volunteers requires prior Board approval.
7. Limitations
The Committee has no authority to bind the Association, enter contracts, or authorize expenditures beyond Board-approved limits.
8. Amendment
This Charter may be amended or dissolved by majority vote of the Board of Directors.
