Social Committee Charter
1. Purpose
The Social Committee is a volunteer
committee formed to strengthen community connection by organizing social
activities, supporting community traditions, welcoming new residents, and
assisting with holiday decorations in HOA common areas, including the Lake
House.
2. Mission
To foster a friendly, inclusive community by creating
opportunities for residents to meet, participate, and enjoy community amenities
in a respectful and organized way.
3. Responsibilities
The Social Committee may plan, coordinate, and support the
following activities (subject to HOA policies and Board approval when
required):
A. Community Social Events
- Neighborhood
gatherings and meet-and-greets
- Cookouts,
potlucks, seasonal socials, and themed events
- Family-friendly
activities when appropriate
B. Holiday Gatherings
& Traditions
- Holiday and
seasonal events (e.g., summer celebrations, Halloween, winter/holiday
social)
- Optional
community traditions such as cookie swaps or gift exchanges
C. Games & Activities
- Mahjong, Bingo,
card games, board games, trivia, and similar social activities
- Optional
friendly tournaments or recurring game nights
D. Charity Collections
(Optional)
- Food drives,
toy drives, school supply drives, or other voluntary community collections
- Clear
communication that participation is optional and donations are delivered
promptly to the intended charity
E. Lake House Scheduling
Support (Non-Enforcement)
The Committee may assist residents by:
- Sharing how to
reserve the Lake House and where to find rules
- Helping
coordinate community event dates to avoid conflicts with private
reservations
- Referring
scheduling conflicts or rule questions to HOA Management or the Board
The Committee does not enforce rules and does not override
HOA Management or Board authority.
F. Holiday Decorations
(Common Areas & Lake House)
- Coordinate
seasonal decorations for approved HOA common areas and the Lake House
- Organize
volunteer help for decorating and takedown
- Ensure décor is
safe, tasteful, and does not damage HOA property
G. Welcoming New Residents
- Support a
welcoming environment for new residents
- Organize
occasional “Welcome to the Community” gatherings
- Help connect
new residents with community information (events, amenities, and
participation opportunities) through approved HOA communication channels
4. Authority &
Limitations
The Social Committee is advisory and volunteer-based and
may not:
- Enter into
contracts or direct vendors on behalf of the HOA
- Spend HOA funds
without Board approval
- Create or
enforce HOA rules
- Represent the
HOA publicly without Board authorization
5. Committee Structure
The Committee may include:
- Chair: leads
meetings and serves as liaison to the Board/Management
- Vice Chair
(optional): supports the Chair
- Communications
Lead: announcements, sign-ups, and resident outreach
- Event Leads (as
needed): coordinate specific events (games, holiday events,
decorations, etc.)
Membership is open to residents/owners in good standing,
subject to reasonable size and participation needs.
6. Meetings &
Communications
- Meetings occur [monthly/quarterly/as
needed]
- Events and
updates will be shared through HOA-approved channels (email, portal,
posted notices, etc.)
- Communications
must remain respectful, community-focused, and consistent with HOA
policies
7. Budget & Spending
- The Committee
may submit event plans and budget requests for Board review
- No HOA funds
may be spent without prior approval
- Reimbursements
require receipts and must follow HOA procedures
8. Review & Approval
This Charter may be reviewed annually and updated as
needed. Changes require Board approval.
